Evaluating vendors for a facilities platform usually turns into a features list nobody reads past the first page. The list below is organized around what each capability actually changes in daily operations — not what it’s called in a sales deck — so it can be used as a working checklist during a demo.

Real-Time Monitoring

What it is: live visibility into the current state of sites, assets, or open cases rather than a report generated after the fact. What it enables: a facilities manager can see, right now, which locations have overdue tasks or open violations without calling site supervisors one by one. Test it in a demo by asking to see a status change reflected on screen within seconds, not after a manual refresh or nightly batch job.

Automated Alerting

What it is: rule-based notifications triggered by conditions — an overdue task, a missed inspection window, a violation left unresolved past a deadline — sent to the right person without anyone having to go looking for it. What it enables: problems get caught the moment they cross a threshold, not whenever someone happens to review a report. Ask a vendor to show what happens when a task is intentionally left open past its deadline — does an alert fire, and to whom.

Centralized Asset and Location Data

What it is: one record per site, asset, or contract that every module reads from and writes to, instead of each department maintaining its own version. What it enables: an inspector’s finding at a location automatically ties to that location’s contract and history, so a manager reviewing a site sees violations, rounds, and contract terms together instead of stitching together separate exports. This is the feature most often faked in a demo — ask whether a location record is genuinely shared across modules or just duplicated into each one separately.

Reporting and Analytics

What it is: the ability to compare performance across time, locations, or categories, not just export today’s list. What it enables: spotting which sites repeatedly generate the same violation type, or which contracts have a rising rate of unresolved items, months before it becomes an obvious problem. During a demo, ask to filter a report by date range and location simultaneously — platforms that only support one dimension at a time usually can’t do real trend analysis.

Permission and Role Management

What it is: control over who can see and do what, down to the level of a specific center, contract, or case type — not just admin versus regular user. What it enables: a contractor or field inspector can be given access limited to their assigned sites and task types, while management retains full visibility, and account changes can be handled without a support ticket. Integration with an identity system such as Microsoft Azure matters here because it means access can follow an organization’s existing employee accounts instead of a separate login someone has to manage on the side.

Third-Party Integrations

What it is: the platform’s ability to connect with tools an organization already relies on — mapping services for site locations, identity providers for logins, sometimes financial or asset systems. What it enables: a site’s location is plotted on an actual map instead of a text address field, and login credentials don’t multiply across yet another standalone system. Ask specifically which integrations are live today versus on a roadmap; “planned” integrations are a different category of promise entirely.

None of these six are optional add-ons to evaluate separately — they compound. Centralized data is what makes analytics meaningful; analytics is what makes alerting worth triggering; role management is what makes centralized data safe to share with a wider team. A platform strong on one and weak on the rest usually reveals itself the moment you ask to see two of these working together in the same demo.
